Job Title: Director of Scholarships and Financial Aid
Department: Scholarships and Financial Aid
Reports To: Associate Dean of Academic Administration and Affiliations
FLSA Status: Exempt

SUMMARY: Leads the development and implementation of financial aid strategies, policies and processes that serve the institution's goals. Ensures the compliance of all applicable federal, state, and institutional rules and policies, and to ensure a high level of student service. Serves as primary institutional resource for financial assistance matters and collaborates closely with a wide variety of internal and external constituencies.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Include the following:

• Responsible for the administration and coordination of financial aid programs that approximate 30+ million annually in Federal Direct Loan, Federal Work Study (FWS), Grants and Private Loans, LRAP program.

• Establish and evaluate all Financial Aid policies and procedures, proposing modifications as needed.

• Ensure compliance with constantly changing federal and state regulations and program guidelines.

• Complete all federal and state regulations and program funding applications and monitor expenditure of all funds received.

• Coordinate all financial aid services for current and prospective students. Supervise and evaluate Financial Aid Office staff and make recommendations for hiring as needed.

• Prepare and administer the Financial Aid Office budget.

• Maintain and monitor scholarships (i.e. grid, endowments, admission scholarships, etc.).

• Supervise the maintenance, handling, and housing of all individual student aid funds.

• Complete federal, state, and internal year-end reports on expenditures of student aid funds.

• Banner: Process all tracking and award letters; maintain and disburse funds; process all returns, originate all Direct Loans, provide ASD a disbursement request, and complete monthly reconciliation.

• Create materials and train counselors for packaging.

• Quality control for bi-weekly FWS timesheets.

• Administer and award TEG funds.

• Represent the College in communications and liaison activities with federal and state student assistance agencies and private aid sources.

• Coordinate and evaluate ongoing office work processes.

• Coordinate the design and revision of Financial Aid Office forms, brochures, and standardized letters.

• Provide appropriate, ongoing staff development activities and training to ensure subordinates remain current on department and College's procedures and practices.

• Develop and maintain a global perspective with regard to College operations and services, and provide insight in shaping those operations and services to best meet the needs of the institution and its students.

• Develop and maintain a thorough working knowledge of the College's various academic processes and student services, which relate either directly or indirectly to the financial aid process.

• Maintain extensive interactions with Accounting Services Office to enhance systems development, implementation of procedures, problem resolution, and the providing of quality service.

• Assume a proactive leadership role in helping students overcome the financial barriers they face throughout the registration and enrollment processes.

• Develop and maintain strict standards for quality control to ensure that federal and state regulations are followed, financial liability is minimized, efficient tracking of applications is maintained, and quality service provided.

• Lead the activities of the Financial Aid Office to ensure a team environment among staff and create opportunities for increased financial support for students.

• Maintain a high degree of confidentiality with regard to any and all information as a direct or indirect result of job responsibilities/job functions.

• Perform other appropriate job-related duties as may be assigned.


SUPERVISORY RESPONSIBILITIES: Supervisory responsibilities for department employees.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The person must have a poised and professional image; strong interpersonal skills with the ability to interact effectively and efficiently with all visitors and students while projecting a positive image for the department and college. Service oriented with ability to make all visitors feel welcome. Proficient in windows-based software including word processing, spreadsheet skills, and ability to learn new software programs as needed. Ability to work in a fast paced environment and perform multi-tasking duties. Three or more years of progressive ly responsible management experience in a higher education environment with significant experience in delivering student financial services.

EDUCATION and/or EXPERIENCE: Bachelor's degree in business, finance or other related field.

LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively and professionally communicate in one-on-one and small group situations to students, alumni, clients, and other employees of the organization.

MATHEMATICAL SKILLS: Ability to perform basic and intermediate math essentials.

REASONING ABILITY: Ability to define routine problems, collect data, establish facts, and draw valid conclusions to solve routine problems and/or deal with a variety of variables in situations. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is regularly required to stand and walk. Occasional light to moderate lifting from floor level, at waist, and above shoulders required. Infrequent bending and stooping necessary. Specific vision abilities required by this job include close vision in order to accurately input data and proofread; distance vision in order to recognize and assist visitors to the department.

Fast paced, multi-tasking, non-smoking work environment. Must be able to work the general business schedule of the College (9:00 a.m. to 5:30 p.m.) plus occasional evenings and weekends as necessary.
